Understand Microsoft Products

As an administrative professional, you’ll invariably be using some sort of office product. The majority of offices tend to use Microsoft Office. Word, Excel and PowerPoint are the three key ones that you need to be familiar with. These are your basic pieces of software that you’ll use in your day to day.


You’ll also have other products that you can use to help you stay more organized and keep your executive up to date and informed. Since technology has become more dominant, there has been a shift away from using paper and pencil. Some executives still do things this way but as the generations change more and more are going to be going away from the traditional methods.


Stay a step ahead and look at what is coming down the pipeline that may help you and your executive. For example, you can always do a trial of the different products that Microsoft offers to see what works for you. Here are a few things that I know that have been very beneficial to me, both for executives who stay on top of technology and those who don’t:


Consider using OneNote – this is a very handy tool because you can use it both online and offline. OneNote offers a lot of features, for example, you can have multiple pages in one tab and you can also share pages with whoever you’d like. You can send information directly from your email to OneNote and it can be viewed on a phone, a tablet or a computer. You can easily integrate photos, presentations, videos etc. into OneNote as well.


SWAY is handy little tool you can use for presentations or even a meeting agenda. SWAY allows for more creativity and is super user friendly. You can easily embed images and videos, add links to websites, pdf’s and other documents.


Planner is a great tool to use, especially if you are working on a project. Multiple people can use planner, which keeps all the data and activity in one central location. You don’t have to worry about keeping up with emails, but instead go to one place and have everything.


OneDrive is another great tool to keep all your documents. It’s a file hosting system where you can keep all your documents without having to worry about losing them. You can access them just like you would from your local drive, and you can easily share the documents with others. They can edit documents right in OneDrive and the latest revisions will be stored there.


Another nice feature about Office 365 and these programs is that you can access them from any computer. If your computer crashes you can use a friend’s computer, a personal computer or a hotel computer and you can get all of this just by logging in via a web browser. It takes the stress away completely when you know that you have access to these things without having your own device.


There are so many options and features with Office 365, so dive in and explore and find what works best for you and your executive.
