Administrative Professionals are important to a smooth-running organization. We are the ones that handle the tasks that help with making the organization look its best.
Without us, many companies would not run as smoothly as they need to. You need to pride in the fact that your executive and company may not be able to run as smoothly as they do without you.
If you want to be a better administrative professional here are a few tips to help you:
Organized and Detailed
These in my book are the number one thing that you need to have to be an outstanding administrative professional. As you grow into this position being organized and detailed is going to become key in a role working for a C-Level executive.
Being organized and detailed is how you can deal with multiple tasks and executives. It is crucial because you are the key holder to important files, presentations, meeting minutes etc.
When you are organized and detailed you can make everything look, as I call it, duck on water. Smooth on the surface but paddling away underneath.
When you are organized and detailed it shows not just to your executive but anyone that you meet and work with.
Team
There is no "I" in team and this is true for an administrative professional as well.
Remember what you do or say reflects on your executive. You must be a team player in this role as you may need something from another manager and if you play nice as a team member you can count on them to get you what you need.
You are assisting your executive so if he/she has a big meeting and other managers are involved you can ask their assistants to help but only if you have built that relationship of being a team player. Don't isolate yourself because you all must work together for the correct outcome to benefit the company.
When you work as a team it also shows that you are detailed and organized, which again I feel is #1 to being a better administrative professional.
Time
You must be a master of time management. Since you have your own list of things to complete and now you have your executives you must juggle both. Time management is key here because without it you will never complete both lists.
Find what works best for you but there are so many programs out there that are part of Office 365 and G-Suite that can help you organize your tasks and keep everything flowing. Don't be closed minded about trying something new as that will only hurt you in the end.
You must learn to complete the tasks quickly, and accurately. In order to do this, you must have good time management skills.
So, these are just three small tips, but all tie into each other. Without being detailed and organized you would not be a good team player or have good time management skills. Without time management you would not be organized and detailed or be a good team player. Without being a team player, you would not be organized and detailed or have good time management.
See how all three of these impact each other? It is all about finding what works best for you using these three things, but once you master it, things run so much smoother.
