How to stay calm during a huge event

It can be difficult to remain calm and not stressed when you have a large event where your executive is a key component.


When you have an executive, who is very hands on in the planning of an event that has over 3,000 attendees things can be very stressful. You want the event to go off without a hitch, and also you know that he will be pulled in a million different directions.


Here are some tips to help you have a very stress free event as well make sure that your executive has an enjoyable event without being bombarded:

  • Make sure that you are in the loop on every single thing that is being planned. This will help when you have to start working on an agenda.

  • Make yourself a checklist of things that you normally have for your executive in the office that way you can have those on hand. I always have cough drops on hand. When your executive has several talks to give he can get a bit cotton mouth.

  • Make sure that you have every appointment on your calendar as well as your executives.

  • This is old fashion, but I type out a full agenda to have that way if there are any technology issues I still have the hard copy of the agenda for him as well for me to follow.

  • Try and remind him of meetings that are happening that day don't rely on him to check his calendar.

  • Book a meeting room for meetings to take place, this keeps it quiet, private and a place they can relax for a meeting.

  • If you are not going to be in one place for the event make sure that you have a bag or backpack that you can carry everything, including your computer, etc. This helps for you to have everything readily accessible if you need it.

These are just a few tips as you know your executive best, but being prepared will help make things go so much smoother for both you and your executive.
