It can be difficult to remain calm and not stressed when you have a large event where your executive is a key component.
When you have an executive, who is very hands on in the planning of an event that has over 3,000 attendees things can be very stressful. You want the event to go off without a hitch, and also you know that he will be pulled in a million different directions.

Make sure that you have every appointment on your calendar as well as your executives.
This is old fashion, but I type out a full agenda to have that way if there are any technology issues I still have the hard copy of the agenda for him as well for me to follow.
Try and remind him of meetings that are happening that day don't rely on him to check his calendar.
Book a meeting room for meetings to take place, this keeps it quiet, private and a place they can relax for a meeting.
If you are not going to be in one place for the event make sure that you have a bag or backpack that you can carry everything, including your computer, etc. This helps for you to have everything readily accessible if you need it.
